The following policies have been put in place to ensure the best experience for our guests at our inn in Bayfield, WI.
Reservation & Deposit Policy: To secure a reservation at Pinehurst Inn in Bayfield WI, a deposit equal to 50% of total room charges is required. The deposit can be paid in cash, check or credit card (Visa, Mastercard, American Express or Discover). Deposits do not include sales or room tax. See Apple Festival Deposit and Cancellation Policies below.
The use of a gfit certificates of any kind MUST be indicated at the time of booking. Pinehurst Inn accepts the following third party gift certificates: Wisconsin Bed and Breakfast Association, BedandBreakfast.com. These certificates will not be accepted on holiday weekends or for Apple Festival weekend, or other special events as determined and at the discretion of the innkeeper.
Two Night Minimum Policy: From the end of May through end of October, Pinehurst Inn has a two night minimum if your stay includes a Friday or Saturday. This minimum does not apply on Sunday through Thursday. The online reservation system operates with this policy. There are holiday weekend and event weekends where we may have a three night minimum (see Apple Festival Policies below).
Cancellation Policy: Pinehurst Inn is a small bed and breakfast and, unlike most hotels, we do not overbook our rooms. When we guarantee an accommodation we enter into a contract and we lose the opportunity to sell it to others and guarantee you the particular room of your choice. This is the basis for our policies:
Cancellations with more than 30 days notice will result in full refund of deposit paid. Cancellations with 30 or fewer days notice will result in a Pinehurst Inn Gift Certificate to be applied at a later date. In addition, cancellations with 5 or fewer days notice will have a $25 handling fee deducted from the value of the gift certificate.
Cancellations made with 24 or fewer hours notice: Such short term notice often results in unrented rooms. We will attempt to re-rent the room, however if un-rented, full payment of reservation balance is due. Gift Certificate for the amout paid less a $50 handling fee will be issued.
Day of Arrival Cancellations or early departures after check-in: if there is a need to cancel on your arrival date or to depart prior to the end of your reservation, we will attempt to re-rent the room. If not re-rented, we will charge the full balance and provide the guest with a Pinehurst Inn Gift Certificate for the amount of the balance less a $50 handling fee.
Apple Festival Deposit & Cancellation Policies (applies for Bayfield’s Apple Festival Weekend only – first full weekend in October):
- We have a three night minimum on Apple Festival Weekend. This can be Thursday, Friday, Saturday or Friday, Saturday, Sunday.
- We require a deposit of 50% down for the reservation at the time of booking. We will charge through the remaining balance of the room reservation balance Thirty (30) days ahead of the event.
- We are UNABLE to accept third party gift certificates for Apple Festival weekend.
- Apple Festival Weekend Cancellations:
- Cancellations with more than 30 days notice receive a Pinehurst Gift Certificate for the amount of deposit less a $25 cancellation fee.
- Cancellations with 15-30 days notice receive Pinehurst Gift Certificate for 80% of payment amount.
- Cancellations with 14 or fewer days notice receive Pinehurst Gift Certificate for 50% of payment amount
Room Rates: Posted room rates at Pinehurst Inn do not include a 5.5% sales tax and a 6.5% room tax and are subject to change. Rates are for one or two persons in a room. An additional $25 per person, per night may be charged for additional guests in the room. Not all rooms will accommodate additional guests. Pinehurst offers Quiet Season room rates shown on the website.
Numbers in Rooms: Room rates are based on a maximum of two persons per room. The only room that can accommodate more than two people is the Catherine Rittenhouse Suite. All other rooms will accommodate a maximum of two people.
Reservations: For reservations at Pinehurst Inn, please call the toll free number, 877-499-7651 or use the on-line reservation service. Deposit policy applies. Visa, Master-Card, Discover, and American Express cards are accepted.
Breakfast: A full breakfast is included in the room rate. Optional “Lighter Fare” is available early or later or to the room with advance request.
Smoking: For the comfort of our guests, our inn in Bayfield, WI is a non-smoking property. We ask that smokers refrain from smoking anywhere on the property.
Children: Children over the age of 12 are welcome as guests anytime. Younger children are permitted only when the entire Inn is booked by their family group and at the discretion of the Innkeeper.
Pets: We are unable to accept pets at Pinehurst Inn. We strive to be sure the property provides a comfortable place for all, including those with allergies. Innkeepers do have a friendly, sweet Golden Retreiver who is not allowed in the guest areas of the inn.
Check In: Check-in is encouraged between 3:00 – 6:00 p.m. Later check-in can be arranged. If needing to check in after 6:00pm, please inform innkeepers when making reservation or by phone ahead of arrival. There may be a self-check-in arranged in some circumstances.
Check-Out: Check-out is by 11:00 a.m. Later check-out can only be made available if housekeeping schedule allows for that day.
Candles: For all of our safety, we do not allow burning candles of any kind in the guest rooms or common areas.
